Automated Meeting Notes Compliance Chaser

Every morning, WebRun opens Wealthbox, finds completed client meetings from the last few days that still have no notes logged, posts each advisor a Slack nudge to write them up, and records every missing note in a Google Sheets compliance tracker so nothing falls through before an audit.

In short

How do I make sure every client meeting gets notes for compliance?

Every morning, WebRun opens Wealthbox and finds recent client meetings that still have no notes logged. It posts each advisor a Slack nudge to write them up and records every gap in a Google Sheets compliance tracker, aging each one until the note appears. WebRun never writes a note itself, so the record stays advisor-authored and audit-ready.

  • Meetings missing notes surface every day, not at audit time
  • Each advisor gets a focused nudge for their own gaps
  • A living compliance log ages every missing note to zero

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.crmworkspace.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Wealthbox - find meetings missing notes
    wealthbox.com
WebRun in Wealthbox: find meetings missing notes
WebRun opens Wealthbox to find client meetings with no notes logged.
    • Open Wealthbox and review completed meetings and events from the last several days
    • Flag any client meeting that has no note attached to the contact record
    • Capture the client, the advisor, and the meeting date for each gap

Done when Every recent meeting without a note has been listed with its advisor and date.

  3. 2
    Slack - nudge each advisor
    slack.com
WebRun in Slack: nudge each advisor
WebRun posts each advisor a nudge for meetings missing notes.
    • Post each advisor a Slack nudge listing their meetings still missing notes
    • Sort by meeting date so the oldest, most overdue write-ups surface first
    • Keep the tone a friendly reminder. WebRun never writes or fabricates a meeting note itself

Done when Each advisor has their missing-notes nudge in Slack.

  4. 3
Google Sheets - log the compliance gaps
    google.com
WebRun in Google Sheets: log the compliance gaps
WebRun logs each missing meeting note in a compliance tracker.
    • Open the compliance tracker and add or update a row per meeting missing a note
    • Record the client, advisor, meeting date, and how many days the note is overdue
    • Mark rows resolved once the note appears in Wealthbox on the next run

Done when Every missing-note gap is recorded and aged in the compliance tracker.

Questions, answered

Does it write the meeting notes itself?

No. WebRun never writes or fabricates a note. It only flags meetings that are missing one and nudges the advisor to write them up, so the record stays an accurate, advisor-authored account of what was discussed.

How does it know a meeting has no note?

It reads completed meetings and events in Wealthbox and checks whether a note is attached to the contact record, flagging any meeting from the last several days that still has none.

Will it close out a gap on its own?

It marks a row resolved in the tracker only after it sees the note has actually been logged in Wealthbox on a later run, so the compliance log reflects real, written notes rather than assumptions.

Put this on autopilot.
