Automated Video Proposal Follow-Ups

Every Monday, WebRun scans your proposals sheet for quotes that have been open past your follow-up window, drafts a polite nudge email for each prospect in Gmail, and posts a Slack summary so you know exactly which proposals are stalled and need attention.

In short

How do I automatically follow up on video production proposals?

Every Monday, WebRun scans your Google Sheets proposals tracker for quotes open past your follow-up window, drafts a polite reminder email for each prospect in Gmail, and posts your team a Slack list of stalled deals so every proposal gets a timely nudge without chasing spreadsheets manually.

  • No proposal goes cold without a timely follow-up draft ready to send
  • The team sees every stalled deal in one Slack message each Monday
  • Accepted or declined proposals are skipped automatically from live sheet status

Built for video production studios · freelance directors · creative agencies · commercial production companies

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens sheets.google.com in a real browser with your saved login - no setup, no API keys.

    • Collect client name, email, project name, quoted amount, and days since sent for each stalled proposal

Done when Every open proposal past the follow-up window is identified with its details.

    • Draft a short, polite follow-up email for each stalled proposal
    • Reference the project name and quoted amount so the client has context
    • Save each as a Gmail draft for the producer to review before sending. Do not send automatically

Done when A follow-up draft is ready in Gmail for every stalled proposal.

  4. 3
    Slack - report stalled proposals
    slack.com
WebRun in Slack: report stalled proposals

    • Post a summary to the sales or production Slack channel listing each stalled proposal
    • Include client name, days open, and quoted amount for each

Done when The team has a Slack summary of all proposals needing follow-up this week.

Questions, answered

Will it send the follow-up emails on its own?

No. WebRun drafts every follow-up in Gmail and leaves it for your review before anything reaches the client. You stay in control of every outbound message.

How long does it wait before flagging a proposal?

You set the follow-up window in your sheet or WebRun settings. The default is five business days from the date the proposal was sent.

What if a client already accepted or declined?

It reads the live status column in your proposals sheet each run, so any proposal marked Accepted, Declined, or Closed is automatically skipped.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
