In short

How do I automatically track food cost variances in Toast POS each week?

WebRun opens Toast's menu mix and cost data every Monday, calculates the theoretical food cost percentage for each menu category from the prior week, and compares it to your targets. A Slack report flags every category that is running over or under by more than 2 points so you can act before the variance compounds.

  • Food cost variances by category flagged every Monday before they compound
  • Worst-performing categories ranked by severity at the top of the report
  • Zero manual reporting needed for weekly food cost review

Questions, answered

Does WebRun update item costs in Toast automatically?

No. WebRun only reads cost data and reports variances. Any updates to item costs or recipes in Toast are made by you.

What variance triggers a flag?

The default is a 2 percentage point deviation from your target. You can adjust this threshold per category during setup.

Can it track actual cost from invoices, not just theoretical cost?

This workflow uses Toast's theoretical food cost based on your item-level costs and sales mix. For actual invoice cost tracking, that data would need to come from your inventory or accounting system.
