Merlin Automated Annual Assessment Reminders
Every Monday during assessment season, WebRun opens Merlin Software, finds owners who have not yet paid this year's annual assessment, generates a Stripe payment link for each outstanding balance, and drafts a reminder email in Gmail with the link included, left unsent for your review before it goes to any owner.
How do I remind timeshare owners to pay their annual assessment?
During assessment season, WebRun opens Merlin Software every Monday and finds every owner who has not yet paid this year's annual assessment. It generates a Stripe payment link for each outstanding balance and drafts a reminder email in Gmail carrying that link, left unsent for your review, so owners only get billing correspondence once you approve and send it.
- Unpaid assessments get a reminder with a working payment link every week of the season
- Every reminder is drafted and waiting, so your team just reviews and sends
- No owner is reminded twice in the same week

How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it charge an owner's card on its own?
No. WebRun only creates a payment link and drafts the reminder that carries it. The owner has to click the link and enter payment themselves, so nothing is charged without the owner's own action.
Will it email owners without me approving it first?
No. Every reminder is saved as a Gmail draft. You review the amount and the link, then send it yourself. Nothing reaches an owner automatically.
How does it avoid reminding someone twice in the same week?
It checks which owners already got a reminder in the last seven days and skips them, so nobody gets duplicate emails in the same week.
Put this on autopilot.
Turn it on in minutes - or have our team set it up for you.
