Automated Unsigned Notes Reminders

Every morning, WebRun opens TherapyNotes, reads each clinician's To-Do list for progress notes that are unsigned or past due, logs the count per clinician to a Google Sheet to track the backlog over time, and posts a private Slack nudge so each therapist clears their own overdue documentation.

In short

How do I remind clinicians about their own unsigned progress notes?

Every morning, WebRun opens TherapyNotes and reads each clinician's To-Do list for progress notes that are unsigned or past due. It logs the count per clinician to a Google Sheet to track the backlog, then posts each therapist a private, supportive Slack nudge with their own overdue count and oldest note, so documentation gets cleared before it piles up.

  • Overdue notes surface every morning, not at the month-end audit
  • Each clinician sees only their own backlog, kept private
  • The tracker sheet shows whether the backlog is shrinking week to week

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.therapynotes.com/app/login in a real browser with your saved login - no setup, no API keys.

  2. 1
TherapyNotes - read each To-Do list
    therapynotes.com
WebRun in TherapyNotes: read each To-Do list
WebRun reads each clinician's To-Do list in TherapyNotes for overdue notes.
    • Open TherapyNotes and review the To-Do list for each clinician
    • Count progress notes that are still unsigned or past their documentation deadline
    • Capture the clinician and the number of notes overdue, with the oldest date outstanding

Done when Every clinician's overdue and unsigned note count has been captured for today.

  3. 2
Google Sheets - log the note backlog
    google.com
WebRun in Google Sheets: log the note backlog
WebRun logs each clinician's overdue-note count to a tracking sheet.
    • Open the documentation tracker sheet and add today's row per clinician
    • Record the unsigned count, overdue count, and oldest note date for each
    • Keep the running history so a growing backlog is easy to spot week to week

Done when Today's note backlog is logged per clinician in the tracker sheet.

  4. 3
    Slack - nudge each clinician
    slack.com
WebRun in Slack: nudge each clinician
WebRun posts each clinician a private Slack nudge about their overdue notes.
    • Send each clinician a private, supportive nudge with their own overdue-note count
    • Lead with the oldest note so the most pressing documentation is cleared first
    • Keep the message to counts and dates only, never any client or clinical detail

Done when Each clinician has a private Slack nudge with their own overdue-note count.

Questions, answered

Is this an internal reminder only?

Yes. This workflow is entirely internal. WebRun only nudges your own clinicians in Slack about their own overdue notes and logs the backlog to a sheet. It never messages clients and never sends anything outside the practice.

Does it read what is in the notes?

No. WebRun only checks whether a note is signed or overdue and counts how many. It never opens a note's contents or any clinical detail, and the Slack nudge carries counts and dates only, never a client name or anything written in a note.

Can it sign or complete notes for the clinician?

No. WebRun never writes, signs, or completes a note. Only the clinician can do that in TherapyNotes. WebRun just surfaces what is outstanding so each therapist clears their own documentation.
