Handle damage deposits and return or charge them with the right draft

Every morning, WebRun reviews checkouts from the previous day in Guesty, checks for damage notes or cleaner flags on each reservation, drafts either a deposit return confirmation or a damage charge notice in Gmail for your approval, and logs every deposit decision in Google Sheets.

In short

How can I automatically handle vacation rental damage deposits and draft the right message for each guest?

Every morning, WebRun reviews the previous day's checkouts in Guesty, reads any damage notes from cleaners, and drafts the right message in Gmail: a deposit return confirmation for clean stays or a damage charge notice for damaged ones. Every decision is logged in Google Sheets, and nothing goes to the guest until you approve it.

  • Every checkout gets a deposit return or charge draft within hours, not days
  • No deposit is forgotten in a backlog of checkouts to review
  • A Sheets log tracks all deposit decisions and charge amounts for your records

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.guesty.com in a real browser with your saved login - no setup, no API keys.

Questions, answered

Will it charge a guest's card or process a refund automatically?

No. WebRun drafts the notice and leaves it unsent. The actual charge or refund is initiated by you in Guesty or your payment processor. Nothing financial happens without your approval.

What if the cleaner did not leave any damage notes?

If no damage notes are found, WebRun defaults to drafting a deposit return confirmation for that checkout. You can always override the draft before sending.

Can it attach photos of damage to the draft?

WebRun references damage notes and flags from Guesty. If your cleaner uploads photos to the reservation, you can attach them manually to the Gmail draft before sending the charge notice.

Put this on autopilot.
