Automated Shelter Return-to-Owner Stray Outreach

When a stray animal is checked into Shelterluv and has an identifiable microchip number, tag, or owner record, WebRun reads the contact details, drafts an outreach email to the registered owner, queues it in Gmail for staff to review, and posts an alert to the lost-and-found Slack channel.

In short

How do I automatically contact owners when their lost pet arrives at my shelter?

When a stray with a microchip or tag is checked into Shelterluv, WebRun reads the registered owner details, drafts a reassuring outreach email in Gmail, and alerts the lost-and-found team in Slack. Staff verify the match and click Send, so identified animals are reunited with their families as quickly as possible and no matching record goes uncontacted.

  • Identified stray owners are contacted within minutes of intake instead of hours
  • Staff verify every match before any message is sent, keeping outreach accurate
  • Reunification rates improve when outreach happens on the day of intake

Questions, answered

Will it contact the owner automatically without staff verifying the match?

No. Every outreach email is drafted and left unsent. Staff verify the owner match in Shelterluv before clicking Send, so no message reaches a person without a human confirmation step.

What if the stray has no microchip or identifiable owner?

If no owner record or chip match is found, no draft is created. The Slack alert notes that no match was found so staff can pursue other identification routes such as a lost pet posting.

Does it include the shelter contact details in the outreach email?

Yes. The draft always includes the shelter name, address, phone number, and hours so the owner knows exactly how to arrange collection.
