Runit Automated PO Shortfall Digest

Every Monday, WebRun opens Runit, compares each purchase order against what was actually received, reads vendor shipping confirmations in Gmail to explain the gaps, and posts a Slack digest of every short, cancelled or missing PO line so nothing you paid for slips through.

In short

How do I catch purchase orders my shoe vendors under-delivered?

Every Monday, WebRun opens Runit and compares each purchase order against what was actually received by size and color. It reads vendor confirmations in Gmail to explain every gap, drafts follow-ups for the biggest shortfalls held for review, and posts a ranked Slack digest, so no shoes you paid for quietly go missing.

  • Short-shipped and missing PO lines surface every week
  • Each gap comes with the reason pulled from vendor email
  • Vendor follow-ups are drafted and ranked, ready for a buyer to send

Built for running specialty stores · footwear buyers · shoe store owners · multi-store retail ops

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.runit.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Runit - compare ordered vs received
    runit.com
WebRun in Runit: compare ordered vs received
WebRun opens Runit to compare ordered vs received.
    • Open Runit and pull open and recently closed purchase orders
    • For each PO line, compare units ordered against units received by size and color
    • Flag any line short-shipped, cancelled or still outstanding past its due date

Done when Every PO with a shortfall is listed with the exact lines and units missing.

  3. 2
    Gmail - read vendor confirmations
    gmail.com
WebRun in Gmail: read vendor confirmations
WebRun opens Gmail to read vendor confirmations.
    • Search Gmail for the vendor's shipping confirmation or backorder notice for each flagged PO
    • Note any stated backorder, substitution or cancellation to explain the gap
    • Draft a short follow-up email to the vendor for the biggest gaps, left unsent for a buyer to review and send

Done when Each shortfall has a reason from Gmail and a draft follow-up where needed.

  4. 3
Slack - post the shortfall digest
    slack.com
WebRun in Slack: post the shortfall digest
WebRun opens Slack to post the shortfall digest.
    • Post a Slack digest of every shortfall grouped by vendor with units and dollar value missing
    • Note the reason found in Gmail and whether a follow-up draft is waiting
    • Rank by value so the biggest gaps get chased first

Done when Buyers have this week's PO shortfall digest in Slack.

Questions, answered

Will it email vendors without me approving?

No. WebRun drafts follow-up emails for the biggest gaps but leaves them unsent. A buyer reviews and sends, so nothing reaches a vendor until a person has approved it.

How does it explain why a PO came up short?

It searches Gmail for the vendor's shipping confirmation or backorder notice tied to each flagged PO, so the digest shows whether a line was backordered, substituted or cancelled, not just that units are missing.

Will it double-count orders still in transit?

No. It only flags lines past their due date or explicitly short-shipped in Runit, so a PO still arriving on schedule is not counted as a shortfall.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
