In short

How do I chase unsigned offer letters automatically?

Every morning, WebRun opens DocuSign, finds sent offer letters that are still unsigned, and matches each to the candidate and recruiter in Greenhouse. It notes how long each has been outstanding and posts your recruiters a Slack chase list, so signed offers come back quickly and none sit forgotten in a candidate's inbox.

  • Unsigned offers surface every morning, oldest first
  • Each offer names the recruiter and the start date at risk
  • Offers get signed faster, not left sitting in an inbox

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens account.docusign.com in a real browser with your saved login - no setup, no API keys.

  2. 1
DocuSign - find unsigned offer letters
    docusign.com
WebRun in DocuSign: find unsigned offer letters
WebRun opens DocuSign to find offer letters still unsigned.
    • Open DocuSign and filter sent envelopes for offer letters that are sent or delivered but not completed
    • Capture the candidate name, the date the offer was sent, and how many days it has been awaiting signature
    • Skip offers already signed or voided

Done when Every unsigned offer letter is captured with its candidate and days outstanding.

  3. 2
Greenhouse - match candidate and recruiter
    greenhouse.io
WebRun in Greenhouse: match candidate and recruiter
WebRun matches each unsigned offer to its candidate in Greenhouse.
    • Open Greenhouse Recruiting and match each unsigned offer to the candidate's Offer Details tab
    • Confirm the role, the responsible recruiter, and any start date riding on the signature
    • Skip candidates already marked hired or whose offer was withdrawn

Done when Each unsigned offer is matched to a candidate, role, and recruiter in Greenhouse.

  4. 3
Slack - post who to nudge
    slack.com
WebRun in Slack: post who to nudge
WebRun posts the unsigned-offer chase list to Slack.
    • Post a short list of offers awaiting signature, longest-outstanding first
    • Name the responsible recruiter and any start date at risk so the right person follows up
    • Leave the follow-up to recruiters. Never resend, sign, or void an offer letter automatically

Done when Your recruiters have today's unsigned-offer chase list in Slack.

Questions, answered

Will it resend or sign offers on its own?

No. WebRun only reads the signing status in DocuSign and reports which offers are still out. Resending, voiding, or signing an offer letter stays entirely with your recruiters inside DocuSign and Greenhouse.

How does it know an offer is unsigned?

It reads each offer envelope's status in DocuSign, treating sent or delivered but not completed as still outstanding, and notes how many days it has been awaiting signature, so only genuinely unsigned offers reach the chase list.

Does the nudge go to candidates?

No. The chase list is an internal Slack message to your own recruiters, naming who should follow up and any start date at risk. The candidate is never messaged by this workflow.
