Draft a we-found-it email when a wantlist record lands

Every morning, WebRun opens Common Ground, compares the records you added to stock against your saved customer wantlists, and for each match it drafts a personal we-found-it email in Mailchimp naming the title, condition, and price, then pings your Slack so someone can review and send it before the copy sells.

In short

How do I alert customers when a record on their wantlist comes in?

WebRun connects new stock to the customers hunting for it. Each morning it compares records added in Common Ground against saved customer wantlists, drafts a personal we-found-it email in Mailchimp for every match naming the title, condition, and price, and posts the matches in Slack for a person to review and send before the copy sells.

  • Customers hear about their grail the day it lands in stock
  • Each email is personal to one customer and one record
  • No customer email sends until a person approves it

Built for record store owners · counter staff · used vinyl dealers · shop email managers

Questions, answered

Will it email my customers without me?

No. WebRun drafts a personal email for each match but leaves it unsent. A person reviews and sends it, so no customer is contacted automatically and you can tweak the wording first.

Is this a bulk email blast?

No. Each draft goes to the single customer whose wantlist matched, naming the exact record they wanted. It is a one-to-one note, not a mass campaign, so it reads personal.

How does it avoid re-alerting the same customer?

It records which wantlist matches it has already drafted and skips them on later runs, so a customer is not emailed twice about the same copy sitting in stock.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
