Automated Contact Lens Reorder Reminders
Every Monday, WebRun opens RevolutionEHR, identifies contact lens patients whose last purchase was 80 or more days ago and who have no pending reorder, drafts a friendly reorder reminder via Weave for each, and posts your team a Slack list to review and approve before anything is sent.
How do I automatically remind contact lens patients to reorder before they run out?
WebRun reviews RevolutionEHR every Monday for contact lens patients likely nearing the end of their supply, drafts a reorder reminder for each inside Weave, and alerts your team in Slack. Staff review and approve every message before it is sent, and patients with expiring prescriptions are flagged for special handling.
- Patients reorder before running out, reducing emergency appointment pressure
- Staff review every reminder before it reaches a patient
- Patients with expiring prescriptions are flagged before a generic reorder prompt is sent

Questions, answered
Will it send reminders to patients automatically without anyone checking?
No. Every reminder is staged as a draft in Weave and held until a staff member reviews and approves. No message reaches a patient without human sign-off.
How does it calculate when a patient is running low?
It uses the last purchase date from RevolutionEHR. Patients who purchased 80 or more days ago and have no pending reorder on file are flagged for a reminder.
What happens if a patient's contact lens prescription has expired?
Those patients are flagged as urgent in the Slack digest so staff can decide whether to remind them to book an exam before reordering, rather than sending a generic reorder prompt.
