Automated Cinema Film Distributor Booking Chasers

Every Monday, WebRun opens Vista, finds films scheduled in the next two weeks where the hire agreement status is still pending or unconfirmed, cross-references Google Calendar to flag the deadline date for each title, drafts a chaser email to the distributor in Gmail, and leaves every draft unsent for the cinema booker to review and send.

In short

How do I automatically chase film distributors for unconfirmed booking terms?

WebRun checks Vista every Monday for films scheduled in the next two weeks that still lack confirmed hire terms, cross-references Google Calendar for each title's confirmation deadline, and creates a chaser email draft in Gmail addressed to the distributor. Urgent titles with deadlines under 48 hours are flagged. All drafts need the cinema booker's approval before sending.

  • Unconfirmed hire agreements chased every Monday before they become urgent
  • Films with deadlines under 48 hours flagged as urgent in Gmail drafts
  • Booker reviews and sends from Gmail - no emails to distributors without approval

Good to know

Questions, answered

Will it email distributors automatically?

No. Every chaser is left as a Gmail draft for the cinema booker to review and send. Nothing is emailed to distributors without your approval.

How does it know which distributor to contact for each film?

WebRun reads the distributor name and contact email from Vista's Film Booking record. If that field is blank, the draft is flagged so the booker can add the contact manually.

What if the hire agreement is confirmed between Monday runs?

WebRun reads the live hire agreement status from Vista at each Monday run, so any film confirmed during the week is skipped and no unnecessary draft is created.
