In short

How do I turn open house RSVPs into a tour schedule automatically?

Every morning, WebRun pulls the next 24 hours of open house RSVPs from Prenda and separates families touring in person from those joining virtually. It blocks a spaced slot on the guide's Google Calendar for each in person visit and attaches a Zoom link to every virtual one, so tour day starts with a schedule already built, not a stack of RSVPs to sort.

  • The guide starts each tour day with a schedule already built, not a stack of RSVPs to sort
  • In person and virtual tours are spaced automatically so nothing double books
  • Virtual families get a Zoom link attached to their slot without the guide creating one by hand

Questions, answered

Does it invite families to the tour on its own?

No. It only reads RSVPs families already submitted in Prenda and builds the guide's own schedule. It never emails or messages a family directly.

How does it handle in person and virtual tours differently?

In person visits get a spaced slot on the guide's Google Calendar, while virtual visits get a Zoom link attached to their slot, so the guide sees one combined schedule either way.

What if two families want the same time?

In person tours are spaced automatically so they do not overlap, and overlapping virtual RSVPs are grouped into one Zoom session instead of double booking the guide.

Put this on autopilot.
