Automated ICNet Device Days Reconciliation

Every night, WebRun opens ICNet, pulls that day's central line, urinary catheter, and ventilator day counts by unit, compares them against the unit-charted device days logged in Google Sheets, flags any unit where the counts disagree, and posts the discrepancy list to Microsoft Teams so denominators get corrected before they roll into a monthly infection rate.

In short

How do I catch device day count mismatches before they skew infection rates?

WebRun opens ICNet every night, pulls that day's central line, urinary catheter, and ventilator day counts by unit, and compares them against the unit-charted counts in Google Sheets. It posts any mismatch to Microsoft Teams for the unit manager to confirm, so infection rate denominators stay accurate before they roll into month-end reporting.

  • Device day mismatches are caught the same night instead of at month-end reporting
  • Unit managers confirm only flagged discrepancies, not every count every day
  • Infection rate denominators stay accurate because the count going into NHSN math is checked nightly

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.icnetsoftware.com in a real browser with your saved login - no setup, no API keys.

  2. 1
ICNet - pull device day counts by unit
    icnetsoftware.com
WebRun in ICNet: pull device day counts by unit
WebRun opens ICNet to pull device day counts by unit.
    • Open ICNet's device utilization or denominator module
    • Pull that day's central line, urinary catheter, and ventilator day counts by unit
    • Capture the count ICNet has recorded for each device type per unit

Done when Every unit's device day counts for the day are pulled from ICNet.

  3. 2
Google Sheets - compare against unit-charted device days
    google.com
WebRun in Google Sheets: compare against unit-charted device days
WebRun opens Google Sheets to compare against unit-charted device days.
    • Open the Device Days Reconciliation sheet
    • Compare ICNet's count for each unit and device type against the unit-charted count already logged there
    • Flag any unit and device type where the two counts differ
    • Log the day's reconciliation result whether matched or flagged

Done when Every unit's device day count is compared and any mismatch is flagged in the sheet.

  4. 3
Microsoft Teams - flag mismatches to unit managers
    microsoft.com
WebRun in Microsoft Teams: flag mismatches to unit managers
WebRun opens Microsoft Teams to flag mismatches to unit managers.
    • Post the day's discrepancy list to the Infection Prevention Teams channel, naming the unit, device type, and the two counts
    • Tag the unit manager for each flagged unit
    • Note that no denominator is changed automatically, the flagged count is for the unit to confirm

Done when Unit managers have every device day discrepancy in Teams for confirmation.

Questions, answered

Does WebRun correct the device day count itself?

No. It only flags where ICNet's count and the unit-charted count disagree. Confirming the correct number and updating the record is a task for the unit manager or IP team.

Which device types does it reconcile?

Central line days, urinary catheter days, and ventilator days, the three most common device-day denominators used for CLABSI, CAUTI, and VAE rate calculations.

What if the counts already match?

Nothing is posted for that unit and device type. Only a mismatch appears in the Teams discrepancy list, so managers only see what needs their attention.

Put this on autopilot.
