In short

How do I automatically track expiring service authorizations for IDD waiver billing?

WebRun opens Therap every Monday, finds service authorizations expiring within 45 days across all active individuals, logs each to a Google Sheets renewal tracker with priority tiers, and posts a Slack alert to billing staff so renewals are submitted before services are interrupted or claims are denied.

  • No authorization lapses undetected before the renewal deadline
  • Billing staff get a ranked renewal work list every Monday morning
  • High-priority expirations flagged automatically at 14 days

Built for IDD billing managers · waiver program coordinators · group home billing staff · Medicaid billing teams

Questions, answered

Will it submit the renewal to the payer automatically?

No. WebRun only logs expiring authorizations and alerts your billing team. All renewal submissions are done by staff after reviewing the tracker. Nothing is filed with a payer without human action.

Which payers and funding sources does it cover?

It covers all active service authorizations in Therap regardless of payer, including Medicaid waiver, state-funded, and managed care plans. The payer name is captured and shown in each row.

What happens if an authorization is renewed and updated in Therap during the week?

The next Monday run reads live data from Therap, so any authorization renewed and updated before the run will not appear in the new alert. Rows already in the sheet should be manually marked resolved.
