Automated Grant Portfolio Exception Flagging

Every morning, WebRun opens Submittable, scans all recent applications and active awards for anomalies including duplicate submissions from the same organization, award amounts outside normal program ranges, and unexpected status changes, logs each flag to a Google Sheet, and posts a concise exceptions list to Slack for your grants team to investigate.

In short

How do I automatically detect anomalies and exceptions across my grant portfolio?

WebRun scans Submittable every morning for grant portfolio anomalies including duplicate submissions, award amounts outside normal program ranges, and unexpected status changes, then logs each flag to a Google Sheet and posts a grouped exceptions list to Slack. Your grants team sees only new, unreviewed flags so they can investigate before issues escalate.

  • Anomalies surface within hours of occurring rather than at the next manual audit
  • Grants team sees only new, unreviewed flags each morning, not a growing backlog
  • No flagged record is automatically changed or blocked, keeping humans in control

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.submittable.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Submittable - scan for application and award anomalies
    submittable.com
WebRun in Submittable: scan for application and award anomalies
WebRun opens Submittable to scan for application and award anomalies.
    • Open Submittable and review applications received in the past 24 hours
    • Flag any application submitted by an organization that already has an active award in the same program cycle
    • Check active award records for any status change made outside normal business hours or that reversed a prior decision
    • Flag any award amount that is more than 20 percent above the program's stated maximum
    • Capture the application or award ID, the anomaly type, and the relevant details for each flag

Done when All anomalies from the past 24 hours have been identified and categorized by type.

  3. 2
Google Sheets - log flagged exceptions with detail
    google.com
WebRun in Google Sheets: log flagged exceptions with detail
WebRun opens Google Sheets to log flagged exceptions with detail.
    • Open the grant exception flags log sheet
    • Append a row for each new flag with the date, record ID, anomaly type, and relevant details
    • Mark any flag that was reviewed and cleared by the team since yesterday

Done when The exception log is updated with all new flags from the past 24 hours.

  4. 3
Slack - post exceptions list for team review
    slack.com
WebRun in Slack: post exceptions list for team review
WebRun opens Slack to post exceptions list for team review.
    • Post the new exceptions to the grants team channel, grouped by anomaly type
    • List the record ID and a one-line description for each flag
    • Include a link to the full exceptions log in Google Sheets for the team to mark items as reviewed

Done when The grants team has today's exception flags in Slack and can act on any that need investigation.

Questions, answered

Does it take any action on flagged records automatically?

No. WebRun only flags and logs anomalies. It never changes a record status, contacts an applicant, or blocks a submission. Every flagged item stays untouched until your team reviews and decides the next step.

How does it define an unusual award amount?

It compares each award against the program's stated maximum award range recorded in Submittable. Any amount more than 20 percent above the maximum is flagged. You can adjust the threshold to match your program rules.

Will it flag the same anomaly every day if it is not resolved?

No. It marks items already posted to Slack in the exceptions log and skips them in subsequent runs until the team clears them, so the daily alert contains only genuinely new flags.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
