Automated Missing Certificate Flags

Every morning, WebRun opens EXEMPTAX, lists exempt customers and the states they buy from, checks each state against where you have nexus in Avalara, and flags every state where an exempt customer has no valid certificate on file. It sends the team a Telegram exceptions list grouped by state so the riskiest jurisdictions stand out.

In short

How do I flag missing exemption certificates by state?

Every morning, WebRun opens EXEMPTAX, lists exempt customers and the states they buy from, and checks each against where you have nexus in Avalara. It flags every state where an exempt customer has no valid certificate, ranks the gaps by nexus, and sends the team a Telegram exceptions list, so the jurisdictions carrying real audit risk surface first.

  • Certificate gaps surface state by state every morning
  • Nexus ranking puts the riskiest jurisdictions first
  • The team knows which customers to chase in each flagged state

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.exemptax.com in a real browser with your saved login - no setup, no API keys.

  2. 1
EXEMPTAX - list exempt customers by state
    exemptax.com

    • Open EXEMPTAX and list exempt customers with the states they buy from
    • Mark each customer-and-state pair as covered by a valid certificate or not
    • Capture the customer, state, and reason for every uncovered pair

Done when Every exempt customer-and-state pair is marked covered or uncovered.

  3. 2
Avalara - check nexus per state
    avalara.com
WebRun in Avalara: check nexus per state
WebRun opens Avalara to check nexus for each uncovered state.
    • Open Avalara and read the states where you have registered nexus
    • Cross-check each uncovered customer-and-state pair against your nexus footprint
    • Rank exceptions so gaps in nexus states rise above gaps where you have no obligation

Done when Every uncovered pair is ranked by whether it falls in a nexus state.

  4. 3
Telegram - send the exceptions list
    telegram.org
WebRun in Telegram: send the exceptions list
WebRun sends the state-by-state exceptions list to Telegram.
    • Send the team a Telegram exceptions list grouped by state
    • Put nexus states with the most uncovered customers at the top
    • Name the customers to chase first in each flagged state

Questions, answered

Does this message customers?

No. This workflow only reads EXEMPTAX and Avalara and sends an internal Telegram list to the team. It never contacts a customer, so it is safe to run unattended every morning.

Why bring nexus into it?

Because a missing certificate only creates real exposure in a state where you have nexus. Ranking exceptions against your Avalara nexus footprint puts the gaps that actually carry audit risk at the top of the list.

How is a state counted as an exception?

A state is flagged when an exempt customer buys from it but has no valid certificate on file for that jurisdiction, and the exception is ranked higher when that state is one where you have registered nexus.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
