Automated Drone Service Quote Follow-Up Drafts

Every morning, WebRun opens your quote tracker in Google Sheets, finds quotes that have been open for more than three days with no reply, drafts a personalised follow-up email in Gmail for each prospect, and flags them for your review before anything is sent.

In short

How do I automatically follow up on open drone service quotes?

Every morning, WebRun scans your Google Sheets quote tracker for proposals open more than three days with no reply, pulls project details from DroneDeploy, and saves a personalised follow-up draft in Gmail for each one. You review and send, so no prospect goes cold without a timely nudge.

  • Stale quotes get a personalised follow-up drafted before 8 AM every day
  • No open proposal goes cold while your team is out flying
  • Every email is reviewed by a human before it reaches the prospect

Built for drone service companies · aerial mapping firms · UAV survey operators · commercial drone pilots

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens docs.google.com/spreadsheets in a real browser with your saved login - no setup, no API keys.

  2. 1
Google Sheets - find open quotes with no reply
    google.com
WebRun in Google Sheets: find open quotes with no reply
WebRun opens Google Sheets to find open quotes with no reply.
    • Open the quotes tracker sheet and filter rows where status is 'Sent' and the sent date is more than three days ago
    • Exclude any rows already marked 'Followed up' or 'Won' or 'Lost'
    • Collect the prospect name, email address, project type, quoted amount, and sent date for each open quote

Done when A list of stale open quotes is ready with contact and project details.

  3. 2
DroneDeploy - pull project details for the quote
    dronedeploy.com
WebRun in DroneDeploy: pull project details for the quote
WebRun opens DroneDeploy to pull project details for the quote.
    • Open DroneDeploy and locate the project plan linked to each quote
    • Note the flight area, map type, and any deliverable details to personalise the follow-up

Done when Project details for each open quote are collected from DroneDeploy.

  4. 3
Gmail - draft a personalised follow-up for review
    gmail.com
WebRun in Gmail: draft a personalised follow-up for review
WebRun opens Gmail to draft a personalised follow-up for review.
    • Draft a short, personalised follow-up email for each open quote, referencing the project name and quoted deliverable
    • Leave every draft unsent in the Gmail Drafts folder for your review
    • Mark the quote row in the sheet as 'Follow-up drafted' so it is not picked up again tomorrow

Done when A reviewed draft email is waiting in Gmail Drafts for every stale open quote.

Questions, answered

Will it send the follow-up emails without my approval?

No. Every follow-up is saved as a Gmail draft for you to review. Nothing is sent until you open the draft and click Send yourself.

How does it personalise the email?

It pulls the prospect name, project type, flight area, and quoted deliverable from DroneDeploy and your quote tracker so each draft references the real project, not a generic template.

What if I already followed up manually?

Mark the quote row as 'Followed up' in the sheet and WebRun will skip it on the next run. It only drafts for rows still marked 'Sent'.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
