Automated Dental Lab FEFO Lot Expiry Alerts

Every morning, WebRun opens Evident, reads the lot and expiry data for all alloys, resins, and other dated lab consumables, sorts them by first-expiry-first-out (FEFO) order, and posts a use-first list to Slack so technicians pull the shortest-dated lot first, while logging the expiry snapshot to Google Sheets for audit and regulatory records.

In short

How do I automatically enforce FEFO rotation for dental lab alloys and resins?

Every morning, WebRun reads lot numbers and expiry dates for all alloys, resins, and dated consumables from Evident, sorts them into first-expiry-first-out order, and posts the use-first list to Slack before the shift begins. Lots expiring within 14 days are flagged critical, and the full snapshot is logged in Google Sheets for lot traceability and audit records.

  • Technicians start every shift knowing exactly which lot to pull first
  • Critical lots expiring within 14 days are flagged before they can expire unused
  • Google Sheets builds a daily lot traceability record for quality and regulatory audits

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.evidentdigital.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Evident - read lot numbers and expiry dates for alloys and resins
    • Open Evident and navigate to Inventory Tracking
    • Read the lot number, quantity, and expiry date for every alloy, resin, and dated consumable
    • Filter for lots expiring within the next 60 days
    • Sort them by expiry date, shortest date first, to produce the FEFO order

Done when All lots expiring within 60 days are listed in FEFO order with their quantity and expiry date.

  3. 2
Slack - post the FEFO use-first list to the lab floor channel
    slack.com
WebRun in Slack: post the FEFO use-first list to the lab floor channel
WebRun opens Slack to post the FEFO use-first list to the lab floor channel.
    • Post the use-first list to the lab floor Slack channel at the start of each shift
    • For each material type, show the lot number that should be used first and its expiry date
    • Flag any lot expiring within the next 14 days with a critical label

Done when Technicians have today's FEFO use-first list in Slack before the shift begins.

  4. 3
Google Sheets - log the expiry snapshot for audit records
    google.com
WebRun in Google Sheets: log the expiry snapshot for audit records
WebRun opens Google Sheets to log the expiry snapshot for audit records.
    • Append the daily expiry snapshot to the lot traceability sheet with today's date
    • Record lot number, material, quantity, and expiry date for each item in the 60-day window
    • Flag any lots that expired yesterday for investigation

Questions, answered

Does it only cover a 60-day window? Can I change that?

The default lookforward window is 60 days, which works for most alloys and resins. You can set it to 30 or 90 days at setup depending on your typical material shelf life.

What if a lot has already been partially consumed?

Evident tracks the quantity on hand per lot. WebRun reads the current quantity each morning, so the FEFO list always reflects what is actually remaining on the shelf, not the original order quantity.

How does this help with regulatory or quality audits?

The Google Sheets log creates a dated record of every lot in the expiry window each day. That trail shows auditors that FEFO procedures were followed and that no expired material sat undetected.

Put this on autopilot.
