Track lender valuation covenants and flag clients who need a fresh report

Every Monday, WebRun reads loan covenant valuation requirements from the Google Sheets covenant tracker, checks BizEquity for the age of each client's most recent valuation report, flags anyone whose report will be too old to satisfy an upcoming covenant check, and posts the alert list to Slack with Gmail drafts ready for the advisor to send to the lender contact.

In short

How do I track lender valuation covenant deadlines and ensure clients have a current BizEquity report in time?

Every Monday, WebRun reads lender covenant requirements from the Google Sheets tracker, checks BizEquity for the age of each flagged client's most recent valuation report, posts a prioritized covenant deadline list to Slack, and drafts lender submission emails in Gmail for advisor review so no client misses a covenant check because their report lapsed.

  • No client misses a lender covenant check because their valuation report lapsed
  • Advisors are alerted 60 days before a covenant check, not 6 days
  • Lender submission email drafts are ready to send with one review

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens docs.google.com/spreadsheets in a real browser with your saved login - no setup, no API keys.

  2. 1
Google Sheets - read covenant dates and valuation freshness requirements
google.com How to Automate Google Sheets
WebRun in Google Sheets: read covenant dates and valuation freshness requirements
WebRun opens Google Sheets to read covenant dates and valuation freshness requirements.
    • Open the covenant tracker sheet listing each client's lender, next covenant check date, and maximum report age allowed (typically 12 months)
    • Flag clients whose next covenant check is within 60 days
    • Note the lender contact name and email for each flagged client

Done when All clients with a covenant check within 60 days are identified from the tracker.

  3. 2
BizEquity - check report age for each covenant client
    bizequity.com How to Automate BizEquity
WebRun in BizEquity: check report age for each covenant client
WebRun opens BizEquity to check report age for each covenant client.
    • For each flagged client, open BizEquity and find the date of their most recent completed valuation report
    • Calculate whether the report will still be within the lender's freshness requirement on the covenant check date
    • Flag any client who needs a new valuation to meet the upcoming covenant check

Done when Each flagged client is marked as valuation current or valuation refresh required.

  4. 3
Slack - post weekly covenant deadline alert
    slack.com How to Automate Slack
WebRun in Slack: post weekly covenant deadline alert
WebRun opens Slack to post weekly covenant deadline alert.
    • Post the weekly covenant deadline alert to the advisory team channel
    • List clients by covenant check date, soonest first
    • Highlight clients whose valuation report needs refreshing before the covenant check

Done when The team has this week's covenant deadline alert in Slack.

  5. 4
Gmail - draft lender reporting emails for advisor review
    gmail.com How to Automate Gmail
WebRun in Gmail: draft lender reporting emails for advisor review
WebRun opens Gmail to draft lender reporting emails for advisor review.
    • For clients whose valuation is current and ready to submit, draft a cover email to the lender contact attaching or referencing the BizEquity report
    • Leave each draft unsent in the advisor's Drafts folder for review and any attachment before sending
    • For clients who need a refresh, draft an internal note to the advisor flagging the renewal action item

Done when Gmail drafts are ready for each client: a lender submission draft for current reports and an action note for those needing a refresh. No email is sent without advisor approval.

Questions, answered

Will it send the valuation report to the lender automatically?

No. Every lender submission email is drafted in Gmail and left for the advisor to attach the report, review the content, and send. Nothing goes to the lender without advisor approval.

Where do the covenant check dates and freshness requirements come from?

They come from the Google Sheets covenant tracker your team maintains. Update the lender requirements there and WebRun applies them on the next Monday run.

What if the lender accepts a valuation that is up to 18 months old instead of 12?

Set the maximum report age to 18 months in the covenant tracker for that lender and WebRun will use that limit when checking each client's BizEquity report date.
