Automated SpotOn Reservation No-Show Report

Every morning, WebRun opens SpotOn's reservation and seating data for the prior night, finds every confirmed reservation with no corresponding covers turned, logs the party name, size, and time in your Google Sheet, and calculates the estimated revenue missed based on your average spend per cover.

In short

How do I automatically track reservation no-shows and their revenue impact at my bar?

WebRun reviews SpotOn reservations every morning for the prior night, identifies every confirmed booking where no check was opened, and logs the party name, size, card-on-file status, and estimated revenue missed into your Google Sheet. Monthly no-show totals update automatically so you can see whether policy changes are reducing losses.

  • Monthly no-show revenue impact is tracked automatically, not estimated at year end
  • Card-on-file status is flagged for each no-show so managers can act on the same morning
  • No-show patterns by time slot and party size surface over time to inform policy changes

Questions, answered

Will it charge the customer's card on file for a no-show automatically?

No. Charging a card for a no-show requires your explicit decision and is never done automatically. WebRun only logs the no-show details and flags whether a card was on file so you can choose to pursue a charge through SpotOn.

What if the guest was late and checked in after the reservation time?

WebRun looks for reservations with no check activity at all. If a party arrived late and a check was opened in SpotOn, they will not be marked as a no-show, even if they came in after the original time slot.

How is the estimated revenue impact calculated?

You set your average spend per cover during setup. WebRun multiplies that figure by the no-show party size to estimate the revenue missed. You can update the average spend figure in the sheet any time to keep estimates accurate.
