Automated Rental Coordination

Every morning, WebRun reviews the active repair schedule in Google Sheets, identifies jobs flagged as needing a rental vehicle, drafts a rental request email in Gmail for each one, and posts an alert to Slack so your coordinator can confirm arrangements before the customer arrives.

In short

How do I automatically coordinate rental cars for repair customers?

WebRun reviews your repair schedule in Google Sheets every morning, finds jobs flagged as needing a rental car within the next two days, and drafts a rental request email in Gmail for each one. It then alerts your coordinator in Slack so they can review the drafts, confirm the details, and send before the customer arrives.

  • Every rental need is flagged at least a day before the customer arrives
  • Rental request emails are drafted and ready without manual coordinator effort
  • No customer arrives for drop-off to find their rental was not arranged

Built for auto body shops · collision repair centers · dealership body shops · DRP-participating shops

Questions, answered

Will it send the rental request emails automatically?

No. WebRun drafts each email in Gmail and flags it in Slack, but nothing is sent until your coordinator reviews and approves the draft. This keeps your coordinator in control of every rental booking and supplier conversation.

How does WebRun know a job needs a rental car?

It reads a rental-needed flag in your Google Sheets repair schedule. Your team sets the flag when logging a job, and WebRun picks it up on the next morning run to begin the coordination workflow.

What if the rental need changes after the draft is created?

Your coordinator reviews the Gmail draft before sending, so they can update the dates or vehicle class if plans changed. The coordinator always has final say on what goes out to the rental partner.
