Automated Caseware Review Note Clearing Queue

Every morning, WebRun opens Caseware and collects every open review note across active engagements, maps each note to the responsible preparer, and posts a prioritized clearing queue to your audit team Slack channel so staff start the day knowing exactly which notes to address first.

In short

How do I automatically build a daily review note clearing queue from Caseware?

Every morning WebRun opens Caseware, collects every uncleared review note across active engagements, and checks whether any are blocked by an open Suralink PBC request. It then posts a grouped clearing queue to Slack by preparer, with age flags, so staff start the day knowing exactly which notes to address and in what order.

  • Preparers start each day with a prioritized review note queue in Slack
  • Notes blocked by open PBC requests flagged before time is wasted
  • Notes older than 5 days highlighted automatically for escalation

Built for audit seniors · CPA firms · audit managers · assurance staff

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.caseware.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Caseware - collect open review notes

    • Open Caseware and navigate to the review notes panel for each active engagement
    • Collect all uncleared notes with their workpaper reference, note text, reviewer name, and date raised
    • Sort notes by age descending so the oldest uncleared notes surface first

Done when All open review notes are collected with workpaper reference, reviewer, and date.

  3. 2
Suralink - cross-check PBC status for flagged items
    suralink.com

    • For any review note that references a missing or pending PBC item, check the current request status in Suralink
    • Flag notes where the linked PBC request is still open so the preparer knows to chase the document first

Done when Notes linked to open PBC requests are flagged with the current Suralink status.

  4. 3
Slack - post clearing queue by preparer
    slack.com
WebRun in Slack: post clearing queue by preparer

    • Format a clearing queue grouped by preparer with each note and its workpaper reference
    • Post the queue to the audit team Slack channel
    • Highlight notes older than 5 days and notes blocked by an open PBC request

Done when Each preparer's review note clearing queue is live in Slack.

Questions, answered

Does it clear review notes automatically?

No. WebRun only reads notes and reports them. Clearing a review note in Caseware requires a human decision by the preparer or reviewer. WebRun builds the queue; your team clears it.

What does the PBC dependency flag mean?

If a review note references a document that is still an open request in Suralink, WebRun flags the note so the preparer knows to resolve the PBC request before they can clear the note.

Can it cover multiple engagements in one run?

Yes. WebRun collects open notes from all active Caseware engagements in a single run, so the Slack queue gives a complete cross-engagement view every morning.
