How to Automate Vagaro

For a salon that rents chairs on Vagaro, reminders, automated email campaigns, Vera Fill My Books and scheduled rent collection already run the client side and the rent book. Licence checks, insurance certificates and distributor orders stay manual, for a person or an agent like WebRun working through the same websites in a browser.

Vagaro is built for salons with renters as well as staff

A salon that rents out chairs is two businesses sharing one front door, and Vagaro is set up to hold both. The stylists on the owner's payroll book into the salon's calendar. The renters keep their own clients and their own prices, and pay the owner rent every week or every month.

Vagaro opens in the desk computer's web browser and in the Vagaro Pro app on a phone, and clients book into it through the Vagaro Marketplace, Instagram, Facebook, Apple Maps, Google or the salon's own site. At checkout the front desk rings up services and retail in Vagaro, and sells gift certificates, packages and memberships there too.

The owner's rent book is in Vagaro too. Vagaro charges each renter on the schedule the owner sets through Vagaro Merchant Services, can deduct the renter's commission from the rent, stores each renter's contract, and shows on one dashboard who has paid and who is overdue.

The owner tracks renter licences and insurance dates by hand

Every renter holds a cosmetology or nail licence with its own renewal date, set by the state board. If the rental agreement asks for liability insurance, the renter emails a certificate once a year and the owner saves it wherever it lands. When the board's inspector visits, the owner wants to know those papers are current, and usually finds out by searching an inbox.

The front desk has jobs of its own on the staff side. Gift certificates sold in December still carry a balance, and packages with two sessions left have nothing booked. A nail client who comes every three weeks is now at five. Colour and developer ran low on Thursday, and the owner reorders them on the distributor's site late on Sunday, from memory and a glance at the shelf.

Renter licences checked every month Each renter looked up on the state board's licence search, with the expiry date set beside their rent status in Vagaro.
Insurance end dates in one list Each renter's certificate of insurance found in the owner's inbox and its end date listed against their name.
Backbar orders built from real counts Vagaro's suggested purchase order checked line by line against the distributor's site for stock and price, with the cart filled and left for the owner.

Vera fills the calendar and Vagaro charges the rent on schedule

Every Vagaro plan includes unlimited notifications and appointment reminders, plus a thousand free marketing emails a month for automated email campaigns. Inventory tracking warns the owner when a product runs low and builds purchase orders with quantities forecast from real sales.

Vera, Vagaro's AI assistant, runs Fill My Books. It scans the calendar for gaps between appointments, slow days and last-minute cancellations. For each opening it picks the clients most likely to want it, judged on their service history and visit frequency, and invites them to book at full price or with an incentive the owner allows. Rent collection charges renters without anyone at the desk, and a salon with a developer can connect other systems through Vagaro's APIs and webhooks.

Each of those works on what Vagaro already holds: the calendar, the client list, the rent ledger and the stock count. The state board's licence search is a public state website, and the insurance certificate sits in the owner's email. The distributor shows stock and today's prices only once the salon signs in to its pro site. Vagaro's APIs reach further, but only for someone who can write code against them.

The renter list becomes a monthly compliance check

The owner could keep one row per renter in a Google Sheet: licence status and expiry date from the board's online search, paid or overdue from Vagaro's rent dashboard. A licence that runs out in sixty days leaves two months to renew it, and the owner sees a lapsed one before that renter's next client sits down.

A second column holds each renter's insurance end date, read from the certificate in the owner's inbox, so the owner can see whose policy ends this quarter and send those renters a reminder.

On Friday the owner decides what to buy from a distributor cart that matches Vagaro's suggested purchase order for colour and developer, each line showing the distributor's stock and today's price.

Packages with sessions left and no future appointment go to the front desk in a Slack message each morning. Regulars whose usual gap has passed are sorted by stylist, and each stylist rings their own. A new Google review that names a stylist goes to that stylist, with the appointment it most likely refers to.

Each renter's name goes into the state board's search form

The monthly run takes each renter's name from Vagaro's rent dashboard to the board's search form. WebRun is an AI agent that works a real Chrome browser, signed in as you, so it can type those names in, then open the certificate emails in the owner's inbox and the distributor's pro site under the salon's account. In Vagaro it has its own login, with permissions the owner sets.

Rent collection stays as the owner set it up; the agent only reads Vagaro's paid and overdue dashboard. The distributor order stops at a filled cart for the owner to check out. Reminders to renters and clients go into the owner's Gmail as drafts, and the owner picks which ones to send.

Rebooking reminders and gift card reminders, drafted in Gmail from Vagaro's calendar, come ready-made on this page, with a nail tech's morning schedule posted to Slack.

Questions people ask

Where does the renter list come from?

From Vagaro's rent collection. Every renter charged there is on it, with paid or overdue beside the name, and the agent adds the board's licence status and the insurance end date to the same row.

Vagaro has APIs and webhooks. Why not build on those?

If you have a developer and the CRM you want to sync offers an API too, build on them; for keeping two systems' records in step, that is the right tool. A state board's licence search is a form on a public web page, and a distributor's pro store is a sign-in and a catalogue, so the work is typing a name into a form and shopping a catalogue under the salon's account, and nobody writes or maintains code.

Will it charge a renter or change the rent?

No. Rent keeps charging on the schedule set in Vagaro's rent collection. Vagaro's rent dashboard shows who has paid and who is overdue, and a note to a renter who is behind lands in your Gmail drafts for you to send yourself.

How far ahead does it flag a renter's expiring licence?

As far ahead as you choose, in any state whose board publishes an online licence search. The board's search returns each renter's status and expiry date by name or licence number, and those dates land in your renter sheet beside the rent status from Vagaro. Nothing is filed or renewed with the board.
