Automated Tutoring Parent Progress Report Drafts

Every month, WebRun opens TutorBird, reads session notes and attendance data for each active student, drafts a personalized progress report email for the parent, logs each report to a tracking sheet in Google Sheets, and queues the drafts in Gmail for the tutor or coordinator to review before sending.

In short

How do I automatically draft monthly progress reports for tutoring parents?

Once a month, WebRun opens TutorBird, reads every active student's session notes and attendance records, and drafts a personalized progress report email in Gmail for each parent. It logs every report to a Google Sheets tracker so nothing is missed. Every draft awaits tutor or coordinator review before it is sent.

  • Every parent receives a consistent, personalized progress update without tutors spending hours writing
  • The tracking sheet gives coordinators a live view of which reports are drafted, reviewed, and sent
  • No student is missed, even during busy end-of-month periods

Questions, answered

Will it send progress reports to parents automatically?

No. Every progress report is saved as a Gmail draft for the tutor or coordinator to review, personalize, and send. No parent receives a report until a person approves it.

What if a tutor did not log session notes this month?

The draft for that student will note the missing notes so the reviewer can fill in details before sending. The tracking sheet will flag the record as incomplete.

Can the reports match the center's existing template format?

Yes. Provide WebRun with your progress report template or a sample report and it will mirror that structure in every draft.
