PointClickCare Automated Prior Auth Expiry Tracking

Every weekday, WebRun opens PointClickCare, scans for prior authorizations expiring within ten days, logs each payer, authorization number, resident, and expiry date into a Google Sheet, and posts an urgent alert to your billing team's Slack channel so renewals are started with time to spare.

In short

How can a skilled nursing facility automatically track prior authorization expiration dates?

Every weekday, WebRun opens PointClickCare and finds every prior authorization expiring within ten days. It logs each one, including payer, authorization number, and expiry date, into a Google Sheet and posts a prioritized Slack alert to your billing team so renewals are started before coverage lapses.

  • Billing team sees expirations ten days out, not one day out
  • High-priority authorizations expiring in three days are flagged automatically
  • Renewed authorizations drop off the list without any manual update

Built for skilled nursing billing teams · SNF authorization coordinators · long-term care revenue cycle managers · Medicare Advantage coordinators

Questions, answered

Will it submit renewal requests to the payer automatically?

No. WebRun tracks expiry dates and alerts your billing team so they can start renewals on time. Submission to payers requires your staff to act, ensuring accuracy before any request goes out.

Which payers does it cover?

It reads all authorization records visible in PointClickCare, including Medicare Advantage, Medicaid managed care, and commercial payers. No payer is excluded unless you configure a filter.

What if an authorization was already renewed?

It reads the live authorization records in PointClickCare each run. Authorizations already renewed or extended will show the new expiry date and will not appear as expiring unless still within the ten-day window.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
