Automated Liquor Store Order Ready Pickup Notices
Every hour, WebRun checks Bottlecapps for online orders whose status has changed to Ready for Pickup, drafts a personalized pickup notification for each customer in Gmail, and alerts staff in Slack so they can approve and send the message before the customer comes in.
How do I automatically notify customers when their liquor store online order is ready for pickup?
WebRun checks Bottlecapps every hour for online orders newly marked as ready for pickup, drafts a personalized notification for each customer in Gmail, and alerts staff in Slack. Staff reviews and sends the draft, so every customer hears the moment their order is packed without anyone remembering to reach out manually.
- Customers hear about their order within the hour it is packed
- Staff are alerted in Slack rather than relying on memory
- No order sits packed and unnoticed at close of day

Questions, answered
Will it send the pickup email to customers without a staff member reviewing it first?
No. Every notification is saved as a Gmail draft and flagged in Slack. Staff reviews and sends each one, so no customer receives a message without human approval.
What if the customer already called to say they are on the way?
Staff can delete the draft before sending if the customer has already been notified by phone. WebRun only creates drafts for orders with no existing notification record in Bottlecapps.
How quickly after packing does the customer get notified?
WebRun checks Bottlecapps every hour. Once staff marks an order ready and a reviewer sends the draft, the customer typically hears within the hour.
