Automated Oversize Load Delay Exception Alerts

Every hour during operating hours, WebRun checks active oversize loads in ProMiles against their permitted travel windows, identifies any load running more than two hours late, posts an exception alert to the dispatch Slack channel, and queues a draft SMS to the driver for dispatcher approval before sending.

In short

How do I get automatic alerts when an oversize load falls behind its permitted travel window?

WebRun checks your ProMiles active loads every hour against their permitted travel windows and flags any load running more than two hours behind schedule. It posts an exception alert to your dispatch Slack channel and queues a draft driver SMS in Twilio for dispatcher approval, so you can extend permits or adjust routes before a breach occurs.

  • Permit travel window breaches detected before they happen
  • Dispatcher alerted within the hour a delay develops
  • Driver outreach queued and approved before any message is sent

Built for heavy haul dispatchers · oversize load coordinators · transport ops managers · permit compliance teams

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.promiles.com/permit-manager in a real browser with your saved login - no setup, no API keys.

  2. 1

    • Open ProMiles and check the status of all loads currently in transit
    • Compare each load's current route position against its permitted travel window and planned schedule
    • Flag any load that is running more than 2 hours behind its permitted window

Done when All in-transit loads are checked and any running 2 or more hours late are flagged.

  3. 2
Slack - post delay exception alert to dispatch

    • Log the queued draft in Slack alongside the exception alert

Done when Driver SMS drafts are queued and linked in Slack for every delayed load, awaiting dispatcher approval.

Questions, answered

Will it send SMS messages to drivers automatically when a delay is detected?

No. WebRun queues draft SMS messages in Twilio for each delayed load and surfaces them in Slack for your dispatcher to review and approve before any message is sent to the driver.

What is a permitted travel window and why does it matter?

A permitted travel window is the time range specified in the oversize permit during which the load may travel. Arriving outside this window can constitute a permit breach, so early detection of delays is critical.

Can it alert only during specific operating hours?

Yes. You can configure the hourly run to operate only during your dispatch hours, such as 5 AM to 8 PM, so your team does not receive off-hours alerts for loads that resume in the morning.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
