Keep an audit-ready chain of custody log

Every time an evidence file is added to, moved within, or exported from the case folder in Google Drive, WebRun logs the transfer to a Google Sheet with who touched it, what changed, and when, cross-references anything newly imported into the matter's CaseWare IDEA project, and keeps the custody trail complete without anyone filling in a form by hand.

In short

How do I keep an automatic, audit-ready chain of custody log for forensic accounting evidence?

Every time an evidence file changes in the case folder in Google Drive, whether added, moved, or exported, WebRun logs the transfer to a Google Sheet with who touched it, what changed, and when. It cross-references anything newly imported into the matter's CaseWare IDEA project, and only ever appends to the log, so the chain of custody stays complete and auditable.

  • Every file change gets a timestamped custody entry without a manual form
  • The log is append-only, so a past entry can never be quietly edited or removed
  • CaseWare IDEA imports are cross-referenced back to their source automatically

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens drive.google.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Google Drive - detect evidence file changes
drive.google.com How to Automate Google Drive
WebRun in Google Drive: detect evidence file changes
WebRun checks the case evidence folder in Drive for any file change.
    • Check the case evidence folder for any file added, moved, renamed, or exported since the last check
    • Capture who made the change and when, using Drive's own activity history
    • Note the file's checksum where Drive provides one

Done when Every evidence file change since the last check is captured with who, what, and when.

  3. 2
CaseWare IDEA - note newly imported files
caseware.com How to Automate CaseWare IDEA
WebRun in CaseWare IDEA: note newly imported files
WebRun checks CaseWare IDEA for any evidence file newly imported into the project.
    • Check the matter's project for any file newly imported as a data source
    • Match each import back to its source file in Drive
    • Note the import date and which test, if any, has already run against it

Done when Every newly imported file is matched back to its Drive source.

  4. 3
Google Sheets - log the custody entry
google.com How to Automate Google Sheets
WebRun in Google Sheets: log the custody entry
WebRun appends a new chain of custody entry to the Google Sheet log.
    • Add a new row to the custody log for each file change, with who, what, when, and the checksum if available
    • Note whether the file was also imported into CaseWare IDEA and when
    • Never edit or remove an existing log row. Only append

Done when The custody log has a complete, appended entry for every file change since the last check.

Questions, answered

Can it edit or delete a past custody log entry?

No. WebRun only appends a new row for each file change. It never edits or removes an existing entry, so the log stays a reliable, append-only record.

Does it move or alter the original evidence file?

No. It only reads Drive's own activity history to see what changed and logs that. The original file is never moved, renamed, or altered by WebRun itself.

What if a file is imported into CaseWare IDEA without going through Drive first?

It is still logged. WebRun checks the CaseWare IDEA project directly for new imports and matches each one back to its source, so an import is captured even if it happens outside the usual Drive flow.
