How do I automatically track prior authorization status for DME orders?
WebRun opens Brightree every morning, pulls every open prior-authorization record, and sorts them by urgency: denied, expiring, or long-pending. It logs the full list to Google Sheets for audit and posts a prioritized digest to Slack, so your billing team starts each day knowing exactly which PAs need action first.
- Denied and expiring PAs are flagged every morning before orders stall
- A full audit trail of every PA is maintained automatically in Google Sheets
- Billing staff start each day with a clear, prioritized action queue

Every action is checked against this policy before it runs.
Questions, answered
Does it submit prior authorization requests automatically?
No. WebRun only reads and tracks PA status from Brightree. Submitting or resubmitting a PA is left to your billing staff, who see the prioritized Slack list each morning.
How does it decide what is urgent?
It flags denied PAs as act-today, PAs expiring within 14 days as expiring-soon, and any pending submission older than 5 business days as long-pending, giving your team a clear action order.
Will the Google Sheet grow without limit?
New rows are appended daily and existing rows are updated, so each PA appears once. You can archive old rows monthly without affecting the tracker.
