Automated DME Equipment Pickup Scheduling

Every morning, WebRun opens Brightree, finds rental equipment flagged for pickup (discharged, deceased, insurance-terminated, or order-ended), drafts a pickup scheduling message for each patient or facility in Gmail for staff review, and posts the day's pickup queue to Slack for your logistics team to plan routes.

In short

How do I automatically manage and schedule DME rental equipment pickups?

WebRun opens Brightree every morning, finds every rental order with a pickup-required status, and drafts a scheduling message for each patient or facility in Gmail for staff review. The logistics team receives a Slack pickup queue sorted by days pending, so overdue retrievals are handled first and no equipment lingers in the field longer than necessary.

  • Every open pickup request appears in Slack before the logistics team plans routes
  • Overdue pickups (14 or more days pending) are flagged automatically
  • Staff review every scheduling message before a patient is contacted

Built for DME logistics teams · HME dispatch coordinators · rental equipment managers · durable medical equipment suppliers

Questions, answered

Will it schedule or confirm a pickup with the patient without staff approval?

No. WebRun drafts the scheduling message and leaves it in Gmail for a staff member to review. No patient or facility receives a message until your team approves and sends it.

What triggers a pickup to appear on the list?

Any rental order in Brightree with a pickup-required status: the patient was discharged, the order ended, insurance was terminated, or the rental period capped out. All four are covered.

What if the equipment was already picked up but not yet closed in Brightree?

The run reads live Brightree status each morning. Once a pickup is marked complete in Brightree, it drops off the list automatically on the next run.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
