How to Automate Yardi
Senior living operators on Yardi need two sets of numbers on time: the Monday census by care level, and the pre-billing check of each resident's charges against the month's care changes. Senior IQ puts figures on dashboards; an AI agent like WebRun can read the census and charges on a schedule and deliver them, posting nothing.
The Yardi Senior Living Suite keeps census, care and billing on one platform
Senior living runs on two numbers that move every week: how many apartments are occupied, and what level of care each resident needs. Yardi sells several property management products, Voyager and Breeze among them, and for senior housing it sells the Yardi Senior Living Suite, built on Yardi Voyager Senior Housing.
Voyager Senior Housing is the suite's accounting and resident billing base, holding the resident ledgers and the charges that become statements. The Care Suite keeps care plans, medication administration and health records. Families follow along through a family portal, and Senior IQ sits on top with dashboards. Yardi's pitch to independent living, assisted living and memory care operators is one platform for senior housing operations, occupancy and care.
The executive director watches the census. The billing office in each community turns the charge schedule into statements every month.
A care-level change has to reach the statement before it goes out
A resident's needs change faster than a lease does. After a reassessment moves someone from one assisted living level to the next, the billing office has to move the charge with it. A month of therapy sessions, incontinence supplies and guest meals turns into ancillary charges that ought to match the service records, and a recurring fee that ran last month and is missing this month goes uncollected.
On Monday the regional director wants occupancy by care level for every building, the move-outs expected in the next thirty days and the move-ins that will fill them, and someone pulls it together from each community's census. Before statements go out, the billing office in each community works through the charges by hand for every resident.
Senior IQ shows the numbers to whoever opens the dashboard
Senior IQ gives staff role-based dashboards that draw on care data, such as assessment scores, care minutes and service recommendations, and on finance data, including the residents with payments past due. It also benchmarks each community against NIC MAP data. Because leads, care and accounting share one platform, a move-in, a care plan in the Care Suite and a ledger in Voyager all describe the same resident.
The dashboards answer whoever opens them. The regional director who wants the Monday census in front of leadership, the billing lead who wants the exceptions listed before the close, and the family asking why this month's statement is higher all need the numbers brought to them. The pre-billing review itself, each resident's charges set against what changed in the month, is work the billing office does community by community before every billing run.
Leadership sees Monday's census by care level before the ops call
Each Monday morning, the operations lead opens a digest of the current census for every community: occupied and vacant units by care level, the residents with a move-out scheduled in the next thirty days, and the move-ins already confirmed to fill them. The regional director's occupancy tracker has this week's row, with any care level below its target flagged.
Before each billing run, the billing lead opens a Google Sheet of the month's exceptions for every community: care-level changes not yet in the charge schedule, ancillary charges without a matching service record, a recurring fee present last month and missing now. Each row carries the resident, the room, the issue, the expected amount and the amount billed, marked Open, and an alert tells the billing team how many rows are waiting.
When a care-level change raises a statement, the executive director reviews a plain note to the family, drafted to explain the new level and the new charge, before the statement arrives.
One Yardi login covers both the census digest and the billing review
Before each close, a regional billing lead goes through every community's charges in Yardi, resident by resident. WebRun is an AI agent that works a real Chrome browser, signed in as you. For each community, with a Yardi login set up for the job, it reads the census and the resident charges in Yardi, then writes the tracker row, the review sheet and the Monday digest.
It posts no charge, changes no care level and opens no clinical record: give it a Yardi login limited to census and billing, and it sees nothing else. Corrections stay with the billing team, and a note to a family is a draft for the executive director.
Questions people ask
Will it see residents' clinical records?
Not for these jobs. The census and the billing checks need occupancy, care levels and charges, not progress notes or medication records, so give it a Yardi login that cannot open clinical records. It can read only what that login can see.
What happens when a charge looks wrong?
It goes into the review sheet with the resident, the room, the issue, the expected amount and the amount billed, marked Open. Someone on the billing team decides whether to correct it before statements go out.
We run Yardi Breeze, not the Senior Living Suite. Does this apply?
Not as written. Yardi Breeze is Yardi's cloud software for residential, commercial, affordable, self storage, HOA and manufactured housing properties, and its site does not list senior living. WebRun can work with any Breeze screen your login opens, so similar occupancy and billing checks can be set up there.
